Employee Recreation & Wellness Procedures for Eligibility

All employees of UNC Health Care, as well as residents, fellows, attending physicians, and House staff are eligible to participate in Employee Recreation & Wellness’ activities, events and discounts.

Retirees of UNC Health Care are eligible to participate as well. In order to be official, retirees will need to complete a complimentary Privilege Card form and return to Employee Recreation & Wellness.

Adult and student volunteers also need to complete a complimentary Privilege Card form in order to be eligible to participate, but needs to have a staff member from Volunteer Services sign the form.

Medical School employees, Medical School graduate students, University and Affiliate employees are not automatically eligible to participate in Employee Recreation & Wellness activities, events and discounts. In order to be eligible, they must complete a Privilege Card form and pay an annual fee of $25.00. Your privileges with Employee Recreation & Wellness will expire a year from the date of purchase.

Students completing an assistantship or an internship (minimum 3 months) are eligible once they complete a Privilege Card form and have their supervisor sign. The $25.00 fee is waived.

Students on a clinical rotation or undergraduate students who are not employed with UNC Health Care are ineligible to participate in Employee Recreation & Wellness’ activities, events or discounts. Purchasing a Privilege Card is not an option.

Approved contractors are eligible to participate once they complete a Privilege Card form and pay an annual fee of $25.00. Please contact Employee Recreation at 984-974-6419 to determine if you work for an approved contractor.

Spouses, partners and dependents of UNC Health Care employees and retirees, as well as all Privilege Card holders can participate in all Employee Recreation & Wellness activities, events and discounts. They do not need a separate Privilege Card; they will simply be registered under the employee’s name and information.

Employee Recreation & Wellness takes the following forms of payment:

  • Exact Cash
  • Checks written out to UNC Hospitals
  • Visa / MasterCard (credit or debit)

Employee Recreation & Wellness Refund Policy

RATIONALE: Registration for Employee Recreation & Wellness activities requires administrative time and supplies to process. When a program refund occurs, additional time and supplies are expended. Therefore, Employee Recreation & Wellness has established a handling charge to cover associated costs.

  1. In the event that a program is CANCELLED, RESCHEDULED, OR CHANGED by Employee Recreation & Wellness, a total refund will be made to the participants.
  2. For a participant-requested refund, a handling charge of 20% of the program fee will be deducted from all refunds (not to exceed $15.00). In addition to the handling charge, a prorated, per class deduction will be made if notification of withdrawal is made after the first class.
  3. Where advance financial commitments have been made by Employee Recreation & Wellness for trips, no refund will be issued unless the position reserved can be filled.
  4. For any program or special event, where the fee is less than $3.00, no refund will be issued.
  5. For any discount ticket purchased through Employee Recreation & Wellness, no refund will be issued! ALL SALES ARE FINAL!

Interested Vendor Information

All new and interested vendors that wish to advertise and promote their business to UNC Health Care employees must first meet the following criteria:

• Vendors must be a legal, responsible and viable company
• A vendor’s business cannot directly compete with any UNC Health Care services
• Vendors must offer a special deal, discount or waiving of fees for UNC Health Care employees
• Participating vendors cannot work for the UNC Health Care system

If vendors meet the above criteria then an email can be sent to the supervisor of Employee Recreation & Wellness – Dianne Olmos, Dianne.Olmos@unchealth.unc.edu – with the following information:

• Description of the vendor’s business
• Description of special deal, discount or waiving of fees for UNC Health Care employees
• Procedure of how UNC Health Care employees will receive their special deal, discount or waiving of fees

Once the email is received, vendors will need to be granted approval first from the supervisor of Employee Recreation & Wellness, and then from the Director of Employee Relations. The approval process could take a couple of weeks.

Once vendor approval is granted, then the supervisor of Employee Recreation & Wellness will contact the vendor by email and discuss the next steps in advertising and promoting their business to UNC Health Care employees.
